How to Book a Wedding DJ: A Step-by-Step Guide
Everything we wish couples knew before they booked us — written by a wedding DJ.
Booking the wedding DJ is one of those tasks that gets pushed to the back of the planning list — and then panic-rushed three months out, when most of the good ones are already booked. Here’s the actual playbook from our side of the booth, so you can avoid that.
Step 1 — Book early. Like, really early.
For a Saturday wedding in May, June, July, August, September: aim to book the DJ 6 to 12 months ahead. The most experienced wedding DJs in the South East are essentially fully booked by January for the following summer. Off-season and mid-week dates are more flexible — you can often get a top DJ with 3 months’ notice for a Friday in November.
Step 2 — Get three quotes. Compare apples to apples.
Ask each DJ for the same spec when you enquire:
- Ceremony PA (microphone for vows, music for processional/recessional)
- Drinks reception background music
- Wedding breakfast PA for speeches
- Evening DJ set from 7pm to midnight
- Basic dance-floor lighting
You’ll typically get back £400–£900 for a competent DJ in Berkshire / Bucks / Middlesex / Herts. Outside that range, dig in — under £400 is usually a hobbyist with consumer-grade kit, over £900 is paying for a name or boutique service. Both can be the right answer; just make sure you know what you’re paying for.
Step 3 — Verify insurance and PAT testing
This step is non-negotiable. Ask for:
- Public Liability Insurance — should be £10 million minimum. Most quality wedding venues require this.
- PAT testing certificate — annually-renewed proof that all electrical equipment has been safety-tested.
A reputable DJ will email both within 24 hours. If they can’t produce them, that’s a flag.
Step 4 — Have a proper planning call
Six to eight weeks out, your DJ should set up a 30–45 minute call to lock down:
- Must-play list (10–15 songs you definitely want heard)
- Do-not-play list (just as important)
- First dance — full song or shortened version, any choreography
- Parent dances, anniversary dance, cake-cutting song
- Timeline — when does each set start and end
- Energy expectation — when do you want guests sat down, when do you want the floor on fire
If a DJ doesn’t offer this call as standard, ask for one. The difference between an OK and a great wedding set comes down almost entirely to the planning conversation.
Step 5 — Read the contract carefully
Before paying the deposit, check the contract covers:
- Arrival and setup time — usually 90–120 minutes before guests arrive
- Performance hours — confirm start and finish times in writing
- Overtime rate — typical £75–£125 per extra 30 minutes
- Deposit — 20–25% to secure the date is standard
- Balance schedule — usually 1–2 weeks before the event
- Cancellation policy — on both sides
- Backup plan — what happens if equipment fails or the DJ is ill on the day. Reputable companies have backup DJs and duplicate kit.
Common questions
How much should I budget for a wedding DJ in the South East?
For a Saturday wedding with ceremony PA, evening set and basic lighting: £600–£900 buys you an experienced, fully-insured wedding DJ in Berkshire, Bucks, Hertfordshire and Middlesex. Add £200–£400 for a photo booth bundle.
Should I pay the full amount upfront?
No. Standard practice is a 20–25% deposit to secure the date, with the balance due 1–2 weeks before the event. Anyone asking for 100% upfront is unusual.
What happens if the DJ is ill on the day?
A professional company will have backup DJs on call and a clearly-defined plan in their contract. Always ask this question before booking.
Do DJs charge extra for travel?
